The Role
We are seeking a friendly, organized, and proactive Customer Service Officer with Reception Duties to be the first point of contact for our clients and visitors. This role is responsible for delivering exceptional customer service, managing front-desk activities, and providing administrative support. The ideal candidate will be highly organised, professional, and able to handle multiple tasks with a positive attitude.
Key Responsibilities:
Customer Service:
- Respond to enquiries via phone, email, or in person, and deal proficiently with all queries
- Provide customer support to service queries from existing customers
- Handle customer complaints or issues efficiently and escalate to the appropriate department when necessary
- Arrange service calls and installation requests when required
- Provide outstanding customer service by liaising with clients and staff in a friendly and professional manner
- Handle and respond to customer feedback via surveys and emails in a timely manner.
- Maintain a positive and helpful attitude at all times to ensure a welcoming environment
Reception Duties:
- Manage the front desk, ensuring it is always tidy and presentable
- Answer incoming calls promptly, screen and direct them to the appropriate staff member, or take detailed messages when required
- Receive and distribute mail, packages, and other deliveries
Administrative Support:
- Keep up-to-date records on company Customer Relationship Management (CRM) System
- Process orders from counter sales
- Assist with data entry, filing, and maintaining records, ensuring accuracy and confidentiality
- Book couriers / organising collections and dealing with in-house deliveries
- Support various departments with administrative tasks, such as invoicing, typing, filing
- Assist with maintaining office supplies inventory and place orders when necessary
Other Duties:
- Perform other duties as assigned by management to support the overall operations of the office
Requirements
Education: GCSE or equivalent in English and Maths
- A professional and proficient telephone manner
Experience:
- Previous experience in a customer service or reception role is preferred
Skills:
- Excellent verbal and written communication skills
- Strong interpersonal skills with a customer-oriented attitude with a desire to go “Above and Beyond” for customers
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with office equipment
- Ability to handle multiple tasks efficiently and prioritize workload
- Attention to detail and high level of accuracy
- Strong problem-solving skills and ability to remain calm under pressure
